1. Who This Policy Covers

This policy applies to two groups of people:

• Event Organizers — the individuals or companies who purchase access to Team Builder Scramble and use it to manage real estate networking events.
• Event Attendees — the real estate professionals whose information is entered into the platform by the event organizer for the purpose of role-based seating assignments and check-in.

If you are an attendee, your information is entered by the event organizer who hosted your event. Please contact that organizer directly with any questions about how they manage your data.

2. Information We Collect

From Event Organizers:

• Full name, company name, and city
• Email address and phone number
• Event details (name, date, venue, registration fee, number of rounds)
• Payment information (processed by our payment provider — we do not store full card numbers)
• Login credentials (email and password, stored in encrypted form)

From Event Attendees (entered by the event organizer):

• Full name
• Company or organization name
• Email address and phone number
• Professional role classification (Agent, Lender, Investor, Wholesaler, Contractor, or Buyer)
• Specialty or focus area (optional)
• Payment status and amount
• Check-in status and timestamp
• Table and seating assignments
• Notes added by the event organizer

Automatically collected:

• Browser type and device information
• IP address
• Pages visited and actions taken within the platform (for debugging and security purposes)

3. How We Use Your Information

We use the information we collect to:

• Create and manage your Team Builder Scramble account
• Generate role-balanced seating assignments and name badges
• Enable fast attendee check-in at events
• Process payments and send payment receipts
• Send login credentials and account-related emails
• Provide customer support
• Improve the platform and fix technical issues
• Comply with legal obligations

We do not sell your personal information to third parties. We do not use attendee data for marketing purposes.

4. How We Share Your Information

We share information only with trusted service providers who help us operate the platform, including:

• Supabase — our database provider, where account and attendee data is securely stored
• Netlify — our hosting provider, where the platform is deployed
• Resend — our email delivery provider, used to send credentials and notifications
• Payment Processor — to process subscription and event payments securely

All service providers are contractually required to protect your data and use it only to provide services to us.

We may also disclose information if required by law, court order, or to protect the rights and safety of our users or the public.

5. Data Retention

We retain event organizer account data for as long as your account is active, plus 90 days after account closure to allow for any disputes or data export requests.

Event attendee data is retained for the duration of your active subscription. Upon cancellation, attendee data is deleted within 30 days unless you request an export first.

Payment records are retained for 7 years as required by standard accounting and tax regulations.

6. Data Security

We take reasonable technical and organizational measures to protect your information, including:

• Encrypted data storage via Supabase with Row Level Security (RLS) enabled
• HTTPS encryption for all data in transit
• Password hashing — we never store passwords in plain text
• Access controls limiting who can view sensitive data
• Time-limited SSO tokens for admin access delegation

No system is 100% secure. If you believe your account has been compromised, contact us immediately at hello@teambuilderscramble.com.

7. Cookies

Team Builder Scramble uses minimal cookies necessary for the platform to function, including session cookies to keep you logged in. We do not use advertising or tracking cookies. You can disable cookies in your browser settings, but some features of the platform may not work correctly without them.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

• Access — request a copy of the data we hold about you
• Correction — request that we correct inaccurate information
• Deletion — request that we delete your data (subject to legal retention requirements)
• Export — request your attendee data in CSV format before account closure
• Opt-out — opt out of any non-essential communications

9. Children's Privacy

Team Builder Scramble is designed for use by real estate professionals and event organizers. We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor's information has been submitted to our platform, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page and, if the changes are significant, notify active organizers by email. Continued use of the platform after changes are posted constitutes your acceptance of the updated policy.

11. Governing Law

This Privacy Policy is governed by the laws of the State of Wisconsin, without regard to its conflict of law provisions.
